Migrate to Cloud – Covid19
At the start of April we helped one of our non-profit Derby based clients move their files from an onsite server to SharePoint. SharePoint is part of the Office365 suite and allows for the easy management and sharing of documents within an organistaion.
The file existing server was already due to be replaced and with an increased desire for home working due to Covid-19 the migration was carried out completely remotely. At the start of the pandemic they needed to connect their laptops back to the office via a VPN to access their traditional file stores. Whilst this worked to a degree, it was somewhat cumbersome with large files proving particularly problematic.
Working remotely ourselves we migrated each shared area to SharePoint. Once in the Microsoft cloud users could easily access the files from their laptop and additionally a mobile device such as tablet or mobile.
As each share moved we remote controlled onto each users machine to demonstrate the new settings and ways of working. Each site had different security settings applied meaning for example that HR and Accounts data could be kept secure from general viewing.
Each user has their own logon to Office 365 which is protected via Two Factor Authentication. This means that they need to provide a code from their mobile phone before logging onto SharePoint on a new machine, thus increasing security of their data.
With each user having an Office365 license for Office, Email and SharePoint they can edit their documents in the cloud from anywhere, or choose to download the documents to their machines for editing in the traditional Office packages such as Word and Excel.
